Terms, Conditions & Application Form 

Thanks very much for expressing an interest in booking a catering pitch at WrabFest 2019. Please read the terms and conditions below and confirm your acceptance by completing to application Form. Our Ts & Cs are quite simple and mostly aimed at making sure everyone enjoys the day safely. Please let us know if you have any questions or queries.

One: Fees & Payments The cost of your pitch will be £250. A deposit of £175 must be paid by 15th June 2019 to secure your booking; until that amount has been received we reserve the right to offer your pitch to another caterer. £50.00 of the £175 deposit will be refunded if the waste removal conditions have been met to the satisfaction of the Event Organiser -see section 4.
Should you wish to withdraw your application after 15th June 2019 we reserve the right to retain all monies paid, but we’ll do our best to find a replacement vendor and refund your deposit. The balance of £125 is payable by 6pm on Friday 26th July.
You’ll receive two complimentary entry tickets per pitch. If you require further tickets for staff please let us know; these will be issued at the organisers’ discretion. If you require further tickets for guests, these must be booked via the tickets page of our website:

Two: Site Stall holder gates are open from 8am. All food outlets must be set up by 10.15am at the latest. WrabFest opens its gates to the public at 11am and closes at 11pm. 
Allocation of pitches and facilities is at our direction. You may not subcontract your stall, or any part of your stall, without our prior permission. 
You will need to provide your own marquee/stall/trailer, measuring a maximum 6 metres x 3 metres. 
If you require more space please advise us as soon as possible and we’ll try to accommodate your request, however we cannot guarantee it. An additional charge may be payable for the extra space. 
We ask that you remain trading until at least 8 pm but stop serving by 10.30 pm to allow for a prompt departure from the site by 11.30 pm.
There will be space for one vehicle behind each pitch, any additional vehicles will need to park in the public car park by 10.30 am.
Access and exit to your pitch is via a designated access road which has a 5 MPH speed limit and will be closed after 10.30 am and open again at 11 pm.
No amplified music or PA systems are allowed.
The use of small, quiet portable generators will be permitted subject to our written approval – please refer to fire precautions below. 
The privilege of selling shall not be deemed to be exclusive and WrabFest reserves to itself the right to allow persons to sell hot/cold food and drinks at the event as it sees fit. 

Three: Goods Sold All goods supplied under this contract shall be of a good quality and wholesome on receipt and must conform to the relevant parts of ‘The Food Safety Act 1995’ or any such amendments that may be ratified in relation to the above act. If there are any changes to the goods you intend to sell please let us know in advance.
Stall holders are not to sell any alcoholic drinks or intoxicating liquor whatsoever.
Stall holders shall not make admission charges or hold raffles or similar from their stand.
No drinks should be served in glass containers. 

Four: Trading Standards & Health & Safety Stall holders must be aware of, and comply with, any relevant trading standards, licensing and other requirements and legislation related to their activities. Documents should be available on the day for inspection by any relevant authority or WrabFest official on request.
A copy of your current Public Liability Insurance and Hygeine certificates must be provided at the time of booking.
No generators, petrol or other flammable substances, open flames or fires are to be brought onto the field without the written consent of the event organisers. 
All gas appliances must comply with the relevant regulations and must be certified by a registered Gas Safe engineer as required by the Gas Safety (Installation & Use) Regulations 1998, within a year of the event. 
All electrical equipment used within your stall must have current portable appliance testing (PAT) certification from a qualified electrical engineer. 
Please make yourself aware of the emergency exits and procedures.
You will be required to supply your own fire extinguisher and fire blanket (tested within a year of the event). 
Smoking is only permitted in the designated smoking area located next to the Cocktail Bar.

Five: Waste removal. All stall holders should minimise the waste produced in association with their stall. No single-use plastics will be allowed on site so please make alternative arrangements for the serving of food & Beverages.  
Stall holders must take away all of their waste and leave their pitch tidy and in good order. If not WrabFest retains the right to withhold the £50.00 deposit to cover the cost of cleaning, waste removal and making good.  Additionally if is found that you have used WrabFest skips we will retain the £50.00 Deposit.

Six: Claims, Indemnity & Insurances. Each stall holder shall indemnify the organisers against all liabilities, actions, costs, claims and compensations for injury or loss to any persons, or damage to the site or any equipment as a result of his/her involvement in the event, including accidental damage. 
Each stall holder must adequately insure to cover all his/her liabilities, including public liability insurance cover to the minimum value of £1m. Please send us a copy of your insurance certificate for our files.
The organisers are not liable for any theft, loss or damage to persons or property which the stall holder, their agent or staff may cause or sustain from any cause whatsoever. 
The organisers cannot accept liability for loss or damage to stall holder stock or belongings or equipment and will not be responsible for monitoring the security of stall holder equipment/and or stock. 

Abandonment & Limitation In the event of cancellation, abandonment, postponement or limitation of the event, there will be no claim against the organisers who reserve the right to transfer the event to another venue and/or date.
The organisers cannot be held responsible for any loss of earnings or expenses incurred by the stall holder as the result of cancellation, abandonment or limitation of the event, the failure of electricity supply, inclement weather, incorrect or non-appearance of advertisements, removal of directional signs or any other factor. The organisers do not guarantee numbers attending the event or the number of customers to your outlet.
Booking fees will not be refunded should inclement weather or factors beyond the control of the organisers affect the event. 

Seven: non-compliance. The organisers reserve the right to reject or cancel bookings for this and other events from any stall holder failing to comply with any of the aforementioned conditions or with any reasonable request made by the organisers or their staff, either verbally or in writing. 
The stall holder may – if the circumstances make it necessary – be asked to leave the site immediately. In this situation there will be no claim against the organisers. 
Stall holders will be held responsible for any loss or damage that they cause to the event site.
